Sending publication slips to bookstores and libraries: a guide for independent authors

As an independent author, getting your book into bookstores and libraries can significantly expand your readership and increase sales. One way to achieve this is by sending publication slips to bookstores and libraries that may be interested in carrying your book. Here’s what you need to know about publication slips, how to create them, and how to strategically send them out.

The publication slip for my novel, If You Didn’t See it Coming follows the guidelines listed in this blog post for creating a publication slip for your independant novel.

What is a publication slip?

A publication slip is a one-page marketing sheet designed to introduce your book to bookstores and libraries. It provides key details that help book buyers decide whether to stock your book. Think of it as a quick sales pitch in print form.

What to include in a publication slip

A well-designed publication slip should include:

  • Your book’s title and author name
  • Book cover image – A professional and eye-catching cover makes a great first impression.
  • Publication date – This helps bookstores and libraries determine if they can place an order in advance.
  • ISBN and format information – Include ISBNs for paperback, hardcover, and ebook versions (if applicable), along with pricing.
  • Genre and target audience – Let them know what kind of readers your book appeals to.
  • Book description – A short, engaging blurb that highlights the book’s appeal.
  • Publisher and distributor information – If you’re self-published, indicate where the book can be ordered (Amazon, IngramSpark, your website, etc.).
  • Reviews or endorsements – If you have reviews from reputable sources or author blurbs, include them.
  • Contact information – Make it easy for bookstores and libraries to reach you for inquiries.

How to design a publication slip

You don’t need expensive design software to create a publication slip. Free tools like Canva or basic word processing programs can help you format a professional-looking slip. Keep it clean, organized, and easy to read. A visually appealing layout will increase the likelihood of your slip being noticed.

Selecting bookstores and libraries to contact

Not all bookstores and libraries will be a good fit for your book, so be strategic in your outreach.

  • Look for independent bookstores that align with your genre – Some bookstores specialize in specific genres like mystery, romance, or science fiction.
  • Research local and regional libraries – Many libraries are open to carrying books by local authors, so start with libraries in your area.
  • Check bookstore submission guidelines – Some bookstores have a formal process for requesting shelf space, so follow their preferred method.
  • Attend book events and network – Meeting bookstore owners or librarians in person can improve your chances of getting your book stocked.

Sending your publication slips

Once you’ve compiled a list of bookstores and libraries, decide how to send your publication slips:

  • Email – Many bookstores and libraries prefer email, so attach your slip as a PDF along with a polite, personalized message.
  • Mailing physical copies – A printed publication slip, especially with a personalized note, may stand out more than an email.
  • In-person drop-offs – If you have a local bookstore or library in mind, visiting in person can help you build relationships with decision-makers.

Publication slips are an essential tool for independent authors looking to get their books into bookstores and libraries. By crafting a compelling slip and targeting the right places, you increase your chances of expanding your book’s availability and reaching more readers. Take the time to research, personalize your approach, and follow up when necessary—it could make all the difference in getting your book on the shelves.and increase book sales. Whether at vendor markets, bookstores, or conventions, making that personal connection with readers is a powerful tool for success.
